AIL Español is looking for an experienced and highly organised Study Groups Coordinator to join our school groups department in Madrid. This role focuses on the post-sales coordination and management of international school group programmes, ensuring that every aspect of the group’s stay runs smoothly and meets our high quality standards. It is an ideal position for a professional with experience in education, language travel, tourism operations or international programme coordination, who enjoys working in a fast-paced international environment. Over the last 20 years, AIL Español has welcomed more than 1,200 school groups, offering high-quality Spanish language programmes combined with cultural immersion experiences. The organisation has grown steadily and now employs around 130 staff members across teaching and administrative departments. AIL Español operates schools in Madrid, Málaga, Valencia and Barcelona. Key Responsibilities Organising and managing all operational aspects of the school group stays in Madrid, including classes, activities, transport, accommodation, catering and cultural visits. Group Support & Customer Care Acting as the main contact for group leaders and accompanying teachers during their stay, ensuring a high level of service and resolving operational issues efficiently. Accommodation Management Coordinating student accommodation with host families and the AIL residence, including room assignments, student allocation and special requests. Assigning students to host families in person when groups arrive. Working closely with providers, activity suppliers and accommodation partners to ensure smooth programme delivery. Preparing invoices, monitoring payments and expenses, maintaining databases and updating operational documentation. Team Support Supervising interns and supporting the coordination of internal activities and internal events. Profile We are looking for a professional who combines strong organisational skills with excellent customer service and operational coordination abilities. Excellent organisational and multitasking skills Ability to manage multiple programmes simultaneously Strong communication and problem-solving abilities Professional, proactive and solution-oriented attitude Comfortable working in an international environment Ability to build trust with clients and partners Requirements University degree required High level of Spanish and English (both written and spoken) Additional languages are a plus, especially Italian Previous experience in programme coordination, language travel, tourism operations or education is highly valued International work or study experience is an advantage Working Conditions Full time – 40 hours per week Monday to Friday: 8:30–17:30 (1-hour lunch break) Flexibility required, as up to 12 Saturdays and 3 bank holidays per year may be required depending on group schedules. Office-based position in central Madrid.
